One app, two views
Most club software gives you one app and expects students, parents, coaches and owners to all use the same interface. Club Forge adapts to the role — because admins and students are doing fundamentally different jobs.
An owner managing 80 members and a student tapping a PIN to get on the mat are doing different things. Club Forge is one app, but the interface adapts entirely to the role.
Owners and coaches get the full management view. Students and parents get kiosk mode — same data, different surface, each designed for one job.
For you and your coaches
The owner and coach view is the dense one — built for the people running the club. Members, ranks, renewals, communications, and compliance all live here. It runs on phone, tablet, or web.
- Members & profiles — Adult, junior, family, and PAYT members. Parent-child links. Four profile types with full history.
- Memberships & renewals — Eight plan types. Automated renewal reminders. Lapse detection. Trial conversion tracking.
- Communications — Email templates for renewals, lapsing, and trial expiry. Automated sequences, configurable per club.
- GDPR & data export — Consent versioning, retention rules, subject access export. Built for UK data law.
- Five disciplines — Rank ladders, grading history, time-in-grade. Separate junior and adult ladders per discipline.
For the dojo door
The student tablet is the simple one — designed to live on a shared device by the door. It auto-locks after each session. No logins, no menus to navigate, no training required.
- PIN check-in — Members type a short PIN. Thirty seconds from arrival to on the mat.
- Family view — One PIN checks in the whole family. Parents pick which children are training that session.
- Student portal — On a private session, students can view their rank, grading history, and attendance. Auto-locks on exit.
Same data, two views
Both views read from and write to the same backend. There’s no syncing step, no export-and-import, no “wait for the overnight refresh.” A member added by an owner shows up on the kiosk immediately. A check-in on the kiosk is visible in the owner view before the class has finished bowing in.
- Single backend — one source of truth for both views
- Changes propagate immediately — no scheduled sync
- Offline-tolerant — the tablet queues check-ins if connectivity drops and syncs when it recovers
How a club sets up
Here’s what the setup flow looks like once Club Forge is open to new clubs:
- Admin creates an account and chooses their discipline(s)
- Members are added — individually or by import
- The app is switched into kiosk mode on a shared device at the door
- First class runs — check-in from the tablet, admin watching the session live
For a club of 50 members, setup takes roughly 30 minutes. Most of that is entering member details; the software itself is configured in under five.
Club Forge isn’t open to new clubs yet — it’s being built and tested at Ichiban Leeds first. Read more about where things are on the about page.
