Membership built around real clubs
Most generic SaaS treats memberships as one-size-fits-all. Real dojos charge differently for adults, juniors, families and drop-ins. Club Forge is built around that.
A martial arts club isn’t a gym. Members aren’t interchangeable — a 6-year-old’s Saturday morning class is different from a 40-year-old’s twice-weekly evening session, and the family of three you’ve coached for five years pays differently from the adult who walked in last week.
Club Forge ships with eight plan types covering adult, junior, family, drop-in, and trial members — and lets you configure the rates yourself.
Plans built around your club
Club Forge plans are yours to define. Create monthly, annual, family, session-based, trial memberships, or anything else that fits how your club charges.
The app ships with sensible defaults: separate adult and junior rates, a family plan with tiered pricing, a pay-per-session option, and a 14-day free trial. Rename them, reprice them, add new ones, or remove what you don’t use. Reorder them too, so you control how they appear when you assign a membership.
Family plans that flex
Real families aren’t a fixed shape. Club Forge family memberships handle any combination — two parents, a parent and a child, three siblings, a family of five with a grandparent training too.
- Any mix of adults and juniors in one membership
- Tiered pricing based on member count, so the rate adjusts at the next renewal when your family grows
- Each member is assigned a named slot, so the membership covers specific people
- One point of billing for the whole family
- Each profile keeps its own training history and rank
Renewals and lapsing handled automatically
Members fall off plans for a hundred reasons — a card expires, a direct debit bounces, life happens. Club Forge handles the follow-up so you don’t lose people through the cracks.
- Two-touch reminder sequence before a plan expires
- Automatic lapse detection when a renewal fails
- GDPR-aligned data retention for lapsed members (see GDPR)
- Re-engagement tracking — see who came back, and how long it took
Trial-to-member that just works
A 14-day free trial is built in. New members sign up, train for two weeks, and get an automated nudge a few days before the trial ends. If they convert, the membership starts; if they don’t, the trial closes cleanly.
Club Forge shows you the trial-to-paid funnel — how many trials converted last month, last quarter, last year. Real numbers, not guesswork.
Pay As You Train, properly
Some members can’t commit to a monthly. Drop-in coaches visit other dojos. PAYT handles both — session-based billing with separate rates for adults and juniors, tracked through the student tablet at the door.
When a PAYT member checks in on the kiosk, the session is logged and a payment record is created automatically. Both the owner and the relevant discipline coach get notified. Once cash is collected, the admin records the payment in the app to close the record. The PAYT log keeps a running picture of outstanding sessions and amounts owed.
Members can sign up themselves
Members can register and pay for a membership online without an admin doing it for them. The sign-up wizard collects profile details, discipline selection, GDPR consent, and payment in one go.
When it’s complete, the admin gets a notification and the new member appears flagged in the member list. Self sign-up and admin-created memberships are the same thing under the hood. The slot rules, billing logic, plan options, and renewal flow all behave identically.
Memberships available for all five disciplines.
